Exhibit Booth Fee Includes:
• Identification sign, skirted six-foot table(s)*, two chairs, and wastebasket
• Standard booth accommodates one tabletop display: 6ft wide by 4ft high
• Wireless internet access, existing hotel ballroom lighting, and carpeting
*If you have your own display and don't need tables, please let us know.

Payment Terms
- Full payment (in US dollars) must accompany your completed application. Booths are not reserved until payment is received in full.
- Accepted methods of payment: Visa, Mastercard, American Express.
- We also accept check or Money order payable to Pacific Coast Reproductive Society, but please note booths are not reserved until payment is received in full.
Cancellation Policy
PCRS understands that circumstances may arise that prevent Exhibitors from fulfilling their commitment to exhibit at the Annual Meeting. Exhibitors who cancel prior to January 1, 2024, will receive a refund of their balance after a $250 fee. Exhibitors who cancel between January 1, 2024, and February 1, 2024, will receive a refund of their balance after a $500 fee. Exhibitors who cancel after February 1, 2024, do not receive a refund but may apply up to 50% to the following year's exhibit fees. To petition for a refund of exhibit fees, cancellation must be made in writing and delivered via e-mail. To petition for a partial refund of exhibit fees, cancellation must be made in writing and delivered via e-mail. See Rules for further information. Refunds will be less credit card service fees.
Frequently Asked Questions
Q: Can exhibitors attend sessions?
A: Exhibitor registration entitles the attendee to attend conference sessions as “observers” only. CME credits will be awarded only to individuals who have paid full attendee registration fees.
Q: Can exhibitors attend the Celebration Dinner?
A: Yes! Exhibitors are invited to purchase tickets to the Celebration Dinner on Saturday evening. Enjoy this premier opportunity to network with participants in a relaxed atmosphere outside the exhibit hall. Tickets may be purchased onsite at the event.
Q: What is the exhibition schedule?

Q: Where can I find shipping information?

Q: How do I purchase electrical and AV?
A: To request equipment for the exhibition please complete a full form request.
Q: Where do I provide the names of our attending representatives for name badges?
A: Please log back in to your exhibitor portal account and update the names of your booth personnel. See exhibit rules for full details on admission to the conference.
Q: How do I book my hotel room?
A: Confirmed exhibitors (those who have paid in full) will be contacted by PCRS and given a link to book rooms within the PCRS block, based on your allocation. Please allow up to 7 business days from the time of your full payment being processed to receive this email information. The Renaissance Esmeralda Resort & Spa will not accept reservations for within the block outside of the use of this link. PCRS will not make any reservations or create any waiting lists above and beyond your allocation. If you need additional hotel rooms, please contact the hotel directly and let them know you would like to book a room outside of the PCRS room block. PCRS reserves the right to cancel reservations inadvertently made within the block beyond your allocation and will notify you of the cancellation. Your reservations are yours to manage, and you may cancel or make changes to the reservation up to 72 hours prior to check-in.
