Exhibitor Profile Portal
Shortly after registering for your exhibit booth or sponsorship, you will receive an email from our exhibitor management platform, MapDynamics, with instructions to access the exhibitor portal. Once you receive your MapDynamics access link, please log in to the exhibitor portal to complete your company profile. From here you can also view and pay open balances, purchase additional booth representatives, and add on sponsorship opportunities.
Registering Representatives
To register your company representatives for their exhibitor badges, log in to your MapDyanmics Exhibitor Portal and navigate to the "In The Booth" tab to enter details for your representatives. From here you can also purchase additional exhibitor badges. Please note that exhibitor badges give you access to the exhibit hall, social events, and conference sessions as an “observer” only. To receive CME credits, you must be registered as a full conference attendee.
Exhibitor Services & Shipping
Steele Tradeshows is the contracted exhibitor services provider for this event. Exhibitors will receive an email invitation from Steele Tradeshows to access the exhibitor kit with information on fixtures and material handling. If you do not receive an email you can contact Steele Tradeshows:

Lead Retrieval
PCRS is offering an inexpensive, efficient, and non-invasive way to quickly acquire attendee leads. Make the most of your experience and order Lead Retrieval! With the purchase of lead retrieval, you can scan attendees' badges with your smartphone or tablet and access real-time reports. Scan the barcodes of your important leads, new sales contacts, and everyone who walks up to your booth.
LEAD RETRIEVAL – $250 – Includes two licenses to the lead retrieval portal.
The deadline to order is March 15th for special pre-show rates.
Please Note: The license(s) for the lead component is connected to the Bravura conference app.

Dates and Deadlines
Please note that the document linked below is a comprehensive list of due dates and deadlines for all sponsorship levels and that some of the benefits listed may not be included in your partnership agreement.
Exhibitor Profile Information and Booth Personnel: Complete your exhibitor profile information, including adding any booth personnel for badges, by March 1, 2024. You may log in to your MapDynamics exhibitor account and update your contact information and other add-on purchases until the cutoff date of March 1, 2024. Anyone not on your company’s list by this date may face delays when requesting a name badge on-site and will be charged a $35.00 on-site badge fee.
Cancellation Policy: PCRS understands that circumstances may arise that prevents Exhibitors from fulfilling their commitment to exhibit at the Annual Meeting. Exhibitors who cancel prior to January 1, 2024, will receive a refund of their balance after a $250 fee. Exhibitors who cancel between January 1, 2024, and February 1, 2024, will receive a refund of their balance after a $500 fee. Exhibitors who cancel after February 1, 2024, do not receive a refund but may apply up to 50% to the following year’s exhibit fees.
Attendee List
The 2024 PCRS Pre/Post Show Attendee List is the proprietary property of the Pacific Coast Reproductive Society. These lists may only be used to contact attendees up to two times, only for the specific purpose of promoting the purchaser’s exhibit booth at the specified show and/or as a follow-up after the show. The Sponsor/Exhibitor agrees not to duplicate, publish, permit the list to be published, merge it into the sponsor's/exhibitor’s company database(s), or use it for any other purpose not expressly provided for in the agreement.
All sponsors and exhibitors will receive the Pre-Show Attendee List two weeks prior to the event date and the Post-Show Attendee List will be sent one week after the event date. The list(s) will only include registered attendees who opted-in to receive third-party communications. PCRS ([email protected]) must be included in all communications. Sponsors, exhibitors, staff, partners/guests, and vendors will not be included in the list.

It has come to our attention that emails are circulating regarding purchasing an attendee list for this year’s PCRS Annual Meeting. These emails and solicitations are spam and are in no way affiliated with the Pacific Coast Reproductive Society. If you receive an email from anyone outside of the PCRS office claiming to have access to the attendee list, please do not respond and forward the email to [email protected].
