Dear PCRS Exhibitors, 

Welcome to our 2021 PCRS Annual Meeting! We look forward to your participation in our 69th Annual Meeting, Generations of Families Building Families, May 6-8, 2021, our first-ever virtual meeting. Thank you for joining us and supporting us!

Please read below for information on deadlines for providing materials, your deliverables, and other next steps.

Please use the submission form link below to share with us your booth materials, representatives to register for the meeting, and a PDF for a virtual attendee bag insert. All of the information and materials requested below can be sent through this single form.

Your Virtual Exhibit Booth

Please submit information for your virtual booth by Friday, April 16 using the link provided above. Any delays in receiving your materials may result in delays in publishing your materials. Booths will not be published on the website until payment is received in full. Each item below is optional, but it is strongly recommended to provide each element for the best possible booth setup.

What You'll Need —

1. Company Logo
Dimensions: Minimum dimensions 500 x 500 pixels
JPEG or PNG file type

2. Company Description
Maximum 1,500 characters (with spaces) description (approximately two paragraphs)

3. Banner Graphic
Recommended Size: 1000 x 250 pixels
JPEG or PNG file type

4. Video
Please provide a video that can be embedded on the PCRS website. 
Acceptable formats: YouTube, Vimeo, iframe, or other HTML embed code

5. PDF Downloads and Other Resources or Materials
Please submit PDF files or weblinks, only.
Limit 4 per booth

6. Preferred Contact Information

  • Information for up to three company representatives. If you will provide photos or headshots of your exhibit representatives, please ensure the photo is at least 1000 x 1000 pixels.

  • You may provide a Zoom meeting link or another preferred contact method, such as email. If you would like to offer face-to-face meetings, we recommend that you provide a link so attendees can request to schedule a meeting rather than staffing the booth for the duration of the event.

    Tip: Consider using a free scheduling tool, such as Calendly.

  • Please also provide basic contact information such as your website, phone number, email, and physical address (as applicable).

Attending the Meeting

Your exhibitor registration comes with up to two complimentary registrations. Please provide us with the names and email addresses of the individuals you want to be registered for the event by Friday, April 16.

We will register them and provide them with all necessary information. 

Please note: These individuals will not be eligible for CME credit — they must register separately as an attendee to earn credit. 


Virtual Attendee Bag Inserts

You have the opportunity to provide a virtual "attendee bag insert". These will be sent as part of a pre-event email to all registered attendees.

Please provide a one-page PDF (8.5 x 11 inches) by Friday, April 16.


One Pre-Event Email to PCRS Contacts

All paid exhibitors and sponsors will be provided with a sign-up form to request a send date for an exclusive email to be sent to PCRS contacts. This email will be sent by PCRS on your behalf. All you have to do is provide the HTML, images and accompanying text, or a PDF that can be sent as an attachment, and we will do the rest!

For HTML emails, 700 pixels is the preferred width. 

For PDF attachments, please provide a standard 8.5 x 11 document.

Don't wait to pay in full! It will become more difficult to schedule your email pre-event since there will be no overlap of send dates for the emails sent on behalf of exhibitors and sponsors. If no dates are available prior to the event, your email may be pushed to post-event.
